Must Know Section

For e-passport enrollment,

  • Applicants are required to be present in-person at the Embassy for biometrics. Applications by mail will no longer be accepted.
  • Application for renewal of your passport can be done only for expired passports or passports with validity of less than 1 year. Please book an appointment ahead of your visit.

Applicants without prior appointment will not be able to submit their application at the Embassy. The date and time slot of the appointment for the Embassy visit should be selected while filling up the online application form. No separate email or telephone call for an appointment is needed.

Before booking an appointment

Read carefully the instructions for filling out the form: Instructions for e-Passport.

You should first change the time zone of your computer/device into ‘Kathmandu’ time. (Your application is handled by the Department of Passport, so appointments are scheduled from Nepal. The Embassy serves as a facilitator here in the U.S.)

You have to complete your online application within 30 minutes; otherwise, the application session will expire, and you need to start afresh. Therefore it is advised to have scanned copies of following required documents in hand as they will be required during the application process. Please make sure that the scanned copies are clear and the file size of those documents is less than 300 KB.

For adults who have obtained their citizenship certificate, prepare soft copies of the following:

  • Front page of citizenship
  • Back page of citizenship
  • Previous passport’s bio-personal data page and stamp page (Page 2 and Page 3)
  • Previous passport’s Next of Kin page (Page 30 and Page 31)

For minors who haven’t obtained citizenship certificate yet, prepare soft copies of:

  • Minor Identity Certificate
  • Previous passport’s bio-personal data page and stamp page (Page 2 and Page 3)
  • Previous passport’s Next of Kin page (Page 30 and Page 31)
  • Parents’ citizenship certificates
  • Parents’ marriage registration certificate

How to book an appointment

Applicants must book an appointment through the link below selecting a time slot at the beginning of the process of enrollment.

Slots open 45 days in advance and are limited. If we’re fully booked for the next 2 weeks, slots may not be available. Therefore, it is advisable to plan ahead and monitor the availability of slots, especially during high-demand periods.

No separate email or telephone request is needed for the appointment.

Below are the steps to book an appointment and fill out the application form. You may also refer to this video that outlines the process to book the appointment: 

  • Once you click on the ‘LINK TO THE APPLICATION’ link, you will be directed to the Department of Passport pre-enrollment page’s web page – https://emrtds.nepalpassport.gov.np/.
  • Choose ‘Apply for Passport’ among the two options given on the page.
  • Choose among First Issuance/Renewal/ Replacement (Lost/Stolen)/Replacement (Damaged). Handwritten passport holders must choose First Issuance.
  • Select Ordinary (34 pages) or one of the available options, and then click on Proceed.
  • Select ‘I agree’.
  • On ‘Appointment Country’ select Other from the scroll down menu and on Appointment Location, select ‘NE, Washington D.C.’ from the scroll down menu. 
  • Select the date by clicking your preferred date from the calendar and select hour by clicking your preferred time of the day.
  • Below “To continue, please Retype the characters from the picture”, type the characters as shown.
  • and time.
  • Fill up your required details under the different subheadings. Please note that applicants in the USA are not mandatorily required to fill up their NIN (National ID Number). You can skip the field if you do not have a National ID number.
  • Upload separate scanned copies of your the following documents:
    • Nepali citizenship card (front and back)
    • MRP passport’s personal bio-data and stamp page (Page 2 and Page 3) and Next of Kin’s page (Page 30 and Page 31)
    • Marriage certificate in case your current surname has changed because of your marriage. 
    • Migration certificate in case your permanent address is different from what is mentioned on your citizenship card.
  • Then, submit the form, download it, and PRINT a copy of the downloaded form. (You must submit the printed form at the Embassy along with other required documents and items when you physically visit the Embassy.

Preparation for the day of the appointment

On the day of your appointment, bring the following documents (in the following order):

For Renewal:

  1. Printed details of Request Number and appointment with QR code
  2. Printed application form (with barcode)
  3. Original passport and its copy
  4. Original Nepali citizenship card and its copy. 
  5. Self-addressed prepaid return envelope (optional for pickup)

Note: Applicants above 16 years without a Citizenship Certificate who are unable to travel to Nepal to obtain the Citizenship Certificate can apply for passport renewal with a validity of two years only (This is only applicable for renewal the first time, and after the two years, you must present a citizenship certificate for renewal of your passport). When you visit the Embassy for the renewal, applicants without a citizenship certificate should submit a minor or a birth certificate whose number is the same as the citizenship number in the passport. 

For Replacement (in case of lost/stolen/damaged):

  1. Printed details of Request Number and appointment with QR code
  2. Printed application form (with barcode)
  3. Printed copy of lost/stolen/damaged passport
  4. Original Nepali citizenship card and a photocopy
  5. Self-addressed prepaid return envelope with tracking number (Not required for self-pickup)

For Minor/New Born:

  1. Printed details of Request Number and appointment with QR code
  2. Printed application form (with barcode)
  3. Original passport and its copy
  4. Minor Identity Card issued from the District/Area Administration Offices in Nepal or birth certificate (In case of foreign-born).
  5. Citizenship certificate of both parents
  6. Copy of marriage certificate of parents
  7. Current immigration status of parents
  8. Self-addressed prepaid return envelope (optional for pickup)

The lunch break of staff at the Embassy is from 1 to 2 p.m. To meet the increased demand for appointment slots, we have recently begun offering appointments during this time frame. Appointments scheduled for 1-2 p.m. will be honored starting from 2 p.m. onwards.

Important: WE WILL NOT BE ABLE TO PROCESS YOUR APPLICATION IF YOU DO NOT BRING THE REQUIRED DOCUMENTS AND COPIES TO THE EMBASSY AS STATED HERE. Arriving unprepared or without the necessary documents will result in delays and/or holds in the processing until the right documents are received.

The process for passport renewal at the embassy involves three steps:-

  1. Initial Check-in at the Help desk
  2. Document verification at the Third Secretary’s office
  3. Payment, biometrics and photograph at the front counter

Following this, you may leave a prepaid return envelope for us to mail your new passport to you. You may use any postal service at your convenience. For any postal service you use, the only requirement we have is an envelope (that fits two passports) with either a prepaid label or a correct address structure with a valid stamp on it. If you opt for any of the privately owned postal services, you must bring in a prepaid label and paste it on your respective envelope. For the United States Postal Service (USPS), you can either opt for a prepaid label or use a stamp and fill out the envelope. For instructions on filling it out, the instructions as well as a sample of a filled-out envelope, are given below.

Instructions for USPS Priority envelopes (For anyone opting for the delivery of the passport)

  1. Go to a postal service to buy the stamp for priority mail, and get the priority envelope and tracking number with a barcode.
  2. Paste the stamp on the sleeve of the envelope where it says “Postage Required”, and the tracking number with barcode on any part of the envelope beside the area where you will put down the receiver’s and the sender’s addresses.

In the FROM section, in the first line, write down “Embassy of Nepal.” Then, in the second line, write “2730 34 Pl. NW, Washington DC, 20007”. In the TO section, write your own address in the following format: “Your Name” in the first line, your house number followed by your street address and apartment number in the second line, then your city, state abbreviation, and zip code on the third line. On the fourth line, please write your phone number addressed as “Phone:”

Fee structure

Payments will be processed at the embassy. We accept various payment methods, including money orders, debit cards, and credit cards. We prefer electronic payments to money orders. As much as possible, try using debit or credit cards while paying for your passport.

Delivery/ Pickup Instructions

Passport delivery can take 6-8 weeks after the biometric appointment. Keep an eye on your email for notifications from the Department of Passports, Kathmandu. Once your passport arrives at the Embassy, you will receive an email notification with the statement, “Your passport is ready to pick up.” Since it will take 1 week to  prepare your passport for dispatch after it arrives here, wait for 10-12  days to track the envelope.

If you opted for pickup, you can collect your passport from the embassy after 7 business days from the day you receive the email notification. To collect your own passport, please bring your Identification card from either the US or Nepal. If you are picking up on behalf of someone else, please bring your authorization letter along with your own ID for verification.

Frequently Asked Questions

  • I can’t find any appointments. What should I do?

We suggest you change your time zone to Nepal’s time. A complete stepwise detail for filling out an application is given above under the “How to book an appointment section.” 

  • Can I come in any other time than my appointment time?

No, the Embassy advises to stick to your appointment date and time. So, plan ahead and travel accordingly.

  • Can I apply for passport renewal/issuance by mail?

No, in-person appointments are mandatory for renewal and issuance of passports.

  • My passport is expired. Can I travel with an expired passport?

No, you cannot travel with an expired passport or a passport with validity of less than 6 months. If you have to travel to Nepal urgently, then you will have to apply for a one-way travel document. However, you will have to obtain the renewed passport for return travel.

  • I cannot insert any “/” or “-” in my citizenship number during the application process. What should I do?

Insertion of such characters is not required so input only the numbers.

  1. I do not have a physical citizenship card with me. What do I have to bring?

If you do not have a physical copy of your citizenship, a clear copy of your front and back page should be provided. In case of “First Issuance”, applicants must bring their original citizenship card.

  • I lost my citizenship certificate. I don’t even have a copy of it. What should I submit instead of the citizenship certificate?

If you lost your citizenship certificate and do not have a copy, you will have to submit a verification letter from the District office verifying your identity and citizenship records.

  • Can I pay for the services in cash?

No, the Embassy does not take cash payments.

  • Can I take my passport back after biometrics?

Or,

  • I have submitted my current passport at the Embassy during my application for renewal. I have an urgent task, can I get my passport back?

Yes, you can take your passport back, but you will have to mail your passport back to us for the stamping purpose by the time your new passport is ready for dispatch. We will mail you both the renewed and existing passport together.

  • Can I put my information in the application as per my Green Card and Social Security if the details are different from Nepal’s documents?

No, your passport information will be as per the details in your Citizenship Certificate, Pension booklet or academic certificate only. The difference of less than 3 days can be considered. For specific queries, please email: consular@nepalembassyusa.org.
